| Q. When I insert a logo or picture into a document in the Word Processor, I have two options: Graphic – Linked and Graphic – Embedded. What’s the difference?
|
A: When a linked object is inserted into a document, it is still stored externally from the document. The printed or viewed document will find the graphic in the specified folder and include it in the output. An embedded object, however, actually becomes part of the document, which increases its size. Consequently, if you embed graphics into many documents, they will use up a lot of space in your database. That is why we recommend linking graphics of 100 KB or larger, or sometimes even smaller graphics that are frequently used in multiple documents.

In your System Settings, under the General Tab, enter the default Folder for Attachments & Images. Make sure that you move required graphics into that folder so that you will be able to access them when selecting Insert | Graphic – Linked in the Word Processor. IMPORTANT! Do not move the graphics from the folder if they are being used. If moved from the folder, the graphics will disappear from the documents. |

Did You Know …that you can use EventPro Planner Negotiations to track when event managers are able to save an event money? For example, your event manager booked 30 hotel rooms for an event, but instead of paying the rack rate or published rate of $195 per night, she negotiated a price of $150 per night, for a total savings of $1350. Record this negotiation in the event setup for future reference.

To add general negotiations to the Lookup Tables, select Setup | Lookup Tables from EventPro Planner’s main menu. Create categories and add negotiation items to each category. Typically, you would record negotiations on big-ticket items like hotel rooms and venue locations. Later, when you book an event and set it up in the Event Maintenance screen, these negotiation items will appear under the Event Setup | Negotiation tab. You can then modify the price information for the items negotiated for this particular event. |
