Publishing the Online Event

If you make changes to your Online Event Information and want to update the appearance of your online event in Attendee Online, you need to publish the online event.

Please take note of the minimum fields you should fill out in Editing Online Event Information before publishing an event.

Also, if you have added or changed any User Fields in EventPro Planner since the last time you published an event, remember to Update Table Structure after publishing this event, but before checking the online event website.

 

Please exercise caution when publishing an event.

Publishing an event will overwrite the event setup, and delete all attendees and all information associated with attendees, such as registration selections, in Attendee Online.  If you do not follow the correct process, you could lose important information without knowing that it was there. For example, if attendees have entered their information in Attendee Online, and you publish the event before importing the attendee information, you will lose all of that attendee information, possibly never knowing that the information had been there.

Please follow this process when publishing an event:

1.Lock the online event.
2.Import attendees from the online event.
3.Publish the online event.
4.Upload attendees to the online event.
5.Unlock online event.

It is very important that it is done in that exact order.  Follow the links to detailed instructions for each step, except Publish the Online Event, which is described below.

Publish the Online Event

1.Remember to first lock the event and import online attendees, as noted above.
2. In the upper right corner of the Event Maintenance screen, click the Options button and select Publish Online Event.

3.The Confirm dialog will warn you that you will overwrite the event attendee registrations in the online database. Please read this warning carefully, and only click Yes to proceed if you are certain that you will not lose online registrations.

4.The Information dialog should tell you that the event was successfully published.  Click OK.
5.Before you go to the website to see your online event, remember that if you have added or changed any User Fields in EventPro Planner since the last time you published an event, remember to Update Table Structure after publishing this event.
6.When you go to the website, you should see the changes you made to your online event. If you run into errors or do not see the changes you made, try logging out, or exiting and restarting the browser. Simply refreshing the browser may not reset the online event.
