Company Venues and Hotels

If a company is classified as a venue, you will be able to assign locations, setup types and features to it under the Venue tab in the bottom section of the Companies/Contacts screen.  If the company is classified as a hotel, you can also assign room types.

Note that if the company is not classified as a Venue or Hotel and you attempt to add items under these sub-tabs, the Information dialog will inform you that these items are only available for companies defined as venues or hotels.

1.Find the company in the Single View or select the company in the List View tab.
2.Click the Venue tab in the bottom section of the screen.  Remember, the company should be classified as a venue and/or hotel before you attempt to add items in this tab.
3.There are four sub-tabs beneath the Venue tab: Venue Locations, Venue Setup Types, Venue/Hotel Features and Hotel Room Types.

Venue Locations are locations where events can take place.

1.Click the Venue Locations sub-tab.
2.Click the New button to the right of the venue locations grid.
3.The Venue Location [New] window opens.
4.In the General tab, enter the Name of the location, e.g. Main Conference Center, West Ballroom, etc.
5.If available, enter the Maximum Capacity and Dimensions of the location.  If you enter the Width and Length of the room, the Size (Area) will automatically calculate.  However, you can manually enter a different Area to take into account irregularly shapes rooms, etc.

6.If you need to enter any additional notes, click the Notes tab and enter the information there.  If you enter anything in the Notes field and later return to edit this Venue Location, the Notes tab text will be red (indicating that there are notes).
7.Click Save.  Continue adding locations until you have added all the locations you need for the selected company.

Here, you will list the types of setup that the venue can accommodate.  The Venue Setup Types will help you find a venue location that can be set up in a particular way.

1.Click the Venue Setup Types sub-tab.
2.Click the New button to the right of the selection grid.
3.The Venue Setup Type [New] window opens.

4.Choose a Setup Type from the drop-down list.  You created these earlier in the setup process, under Chapter 2: Setting Up EventPro Planner, Step 5: General Lookup Tables, Venue Setup Types.
5.Click Save.  Continue adding setup types until you have entered all types available for the selected venue.

The Venue and Hotel Features offer further description about the locations or rooms available at the venue or hotel.  These features may not be directly related to functions, but, for example, could be beneficial to an attendee’s comfort.

1.Click the Venue/Hotel Features sub-tab.
2.Click the New button to the right of the selection grid.
3.The Venue Feature [New] window opens.

4.Select the Feature from the drop-down list.  You created these features earlier in the setup process, under Chapter 2: Setting Up EventPro Planner, Step 5: General Lookup Tables, Venue Features.
5.Enter the Quantity of the feature that the company has.
6.Click Save.  Continue adding as many features as applicable for the selected company.
