Advanced Headers and Footers
As noted above, you can add simple Headers and Footers that look the same on every page by clicking View | Document Header and View | Document Footer. However, if you want to have more control over document headers and footers, you must use the Bands buttons.

Determine how many different headers/footers you would like to have. You can create as many different headers and footers as you like, but you will only be able to use as many as you have pages in your document. Remember that if you added merge fields that have multiple records, the actual letter could be much longer than your template layout.

The page is probably set to leave room for the standard header and footer. Select Format | Page Layout to adjust the space for your custom headers and footers, if necessary.

You will be adding Header, Footer and Data/Text bands to the document. These bands determine the location of the text below them, so that even if your template is typed out of order, the Bands will correctly locate the text in the final copy. To understand how these bands work, see the example below.

As you see, everything below the Header band will appear in the header, everything below the Data band is defined as body text and everything below the Footer band appears in the footer.

To insert the bands, select View | Mail Merge Dialog from the Word Processor’s main menu.

The Merge Fields/Bands dialog will appear. Click the Advanced>> button to open the right side of the dialog, if it is not already open. For advanced headers, we will be using the options under Bands.

Place your cursor in front of the relevant text in the document body. Under Bands, select Header, Footer or Data/Text (as required) from the Type drop-down list and click the Insert New Band button. Everything below that band will appear in the designated section, until interrupted by the next band.

The three small numbers in boxes in the band indicate which pages the text will appear on. For example, 1XX means that it will appear only on the first page. X23 means that it will appear on all pages except the first page.

Typically, you would choose to have the body text visible on all pages, continuing from page to page like a normal document.

However, you can use bands to change the header/footer from page to page. In the example above, you see that there are two headers. From the numbers, you see that the first header will appear only on the first page. The second header will appear on all pages except the first (if there are multiple pages in the document).

To choose the pages on which the text will appear, select an option from the Visible drop-down list: Always Visible, On Odd Pages, On First Page, etc.

Remember that the final document will not contain the colorful bands. The bands merely determine the final appearance of the document. If you preview your document by clicking on the Merged Text tab or selecting File | Print Preview, you will see that the bands you inserted arrange your headers, text and footers in the correct order. Check to ensure that there is sufficient space for the headers/footers, and return to the Document: Body tab to adjust spacing and margins if necessary.
